Team Calendar troubleshooting and FAQ

The message is “An out-of-office event must cover whole days” or “An out-of-office event needs the person it belongs to”. Turn All day on, and set Who is away to the person the leave belongs to. Both are required before availability checks can see the absence. See Absence and availability.

Somebody on leave is still shown as available

Section titled “Somebody on leave is still shown as available”

Open the absence and confirm it is all-day and names the right person. A timed out-of-office entry left over from an older installation appears on the grid but is invisible to every availability check. Editing it to all-day fixes it.

A repeating event stops part-way through the year

Section titled “A repeating event stops part-way through the year”

Occurrences past the calendar’s Maximum recurrence range are not drawn. The default is 100 days from the series start. Raise it in calendar settings, up to 365. The setting changes only how far ahead the rule is drawn, not the rule itself.

Reminders do not fire for repeating events. For a one-off event, check that Remind (minutes before) is set, and that the recipient is the subject or an attendee.

A cell shows three events and collapses the rest into +N more. Open that link, or switch to Agenda or List, where nothing is cut off. Showing fewer fields on each chip through Event display also helps.

Somebody else has the event open. You can still edit and save it; your version is checked against theirs.

The message is “Somebody else changed this event. Reopen it to see their version.” Their save landed first. Reopen the event, look at what changed, and reapply your edit. Lunar Paper refuses the save on purpose, so a shared calendar cannot silently lose somebody’s work.

The Away view is empty but people are on leave

Section titled “The Away view is empty but people are on leave”

The Away view covers a fixed four-week window from the current anchor. Leave that ends before the window starts is not shown. Use ‹ and › or Today to move the window. Check the Everyone / Only mine filter as well.

The message is “Could not load the calendar.” A very wide range holding more than 2,000 events is refused, so narrow the period. If the range is ordinary, the calendar’s events failed to expand. Report it with the calendar name and the period you were viewing.

Past 5,000 events an export asks you to narrow the range. Move to a smaller period or a narrower view and try again. Exports are also rate limited, so several attempts in quick succession are throttled.

The exported file has events I filtered out

Section titled “The exported file has events I filtered out”

The .ics export follows the window, not the filter pills. Prune the file after importing it, or export from a view whose range is narrower.

Check the calendar’s Time zone in settings. All-day events belong to that zone’s calendar days, so a calendar left in the wrong zone can put a holiday on the wrong date. Timed events keep their wall-clock time across daylight-saving changes.

Creating a calendar and changing its settings require owner or editor access on the service. Any member can create events. To edit or delete one, you must be its creator or an editor.
